Five types of documents used by an organization

A really usefull and important article about documents used by an organization. The following are the five documents used and required by any organization (Staab et al., 2001)

1 – Memorandums and Emails

Memos are used by companies in a different situations when a message is meant for a specific file that needed more privacy than an email. Email is used for identification of a sender and receiver that consist of a subject line.

2 – Letters

The purpose of business letters is to communicate with those individuals who are outside of the office that include service providers, customers, colleagues and other professionals.

3 – Reports

The purpose of business reports is to convey more formal information. Business reports are usually longer than a letter

4 – Transactional Documents

The purpose of transactional documents is to transact detail of a business with their clients. These documents saves time for the company. These documents include invoice, transmittal page and an order form.

5 – Financial Documents

Financial documents describes the overall detail of budget of a company. These documents consist of payroll reports, receipt records, bank statements, balance sheet and income statement etc.

1 – Balance sheet and income statements

Balance sheet and income statements are the documents that describe the overall budget and financial positions of a company. For example income statement explain the overall profit and loss of a company.

2 – Memorandums

It is a formal document that explain a formal agreement between two parties of a company. These documents are used for establishment of official partnership.

3 – transmittal page

It is a document used by a security holder to accompany certificates surrendered in an exchange or other corporate action.
